How venue info shows on the printed packet
Venue facts ride on the dashboard page of every PDF. Turn on the “Include venue photos page” toggle in All Sessions PDF for a dedicated landscape Venue sheet with the photo grid.
When you download a PDF from Overture, venue information rides along so your crew has it on paper at front-of-house. By default the venue facts appear on the dashboard page. There's also an opt-in toggle that adds a full-page Venue sheet with the photo grid.
The default — venue facts on the dashboard page
Turn on Include event dashboard page when you download a PDF and you'll get a one-page event overview before the sessions. That overview includes the venue facts:
- Venue name and full address
- Parking, Loading Dock, and Power Drops — each as its own labeled row
- Producer Notes when you've filled them in
- Venue staff list — name, role, phone, and email for every contact you've added
Photos and the interactive map are not on this page — it's a text-only sheet meant to keep file size and ink usage down.
Optional — the photo-rich Venue sheet
In the Download All Sessions PDF dialog there's a second checkbox: Include venue photos page. Turn it on and Overture renders a dedicated landscape Venue sheet right after the dashboard page. The Venue sheet is the closest thing to printing your Overture venue dashboard onto paper.
The Venue sheet includes everything from the dashboard page plus:
- The venue website link when one is on file (rendered as text in the PDF so it can be typed in)
- The map pin coordinates (latitude/longitude in the top-right) when research has fetched them
- Up to a 4-column grid of venue photos with the captions you typed when you added them
The toggle is off by default. Most prints don't need photos and the photo fetch adds a couple of seconds to PDF generation, so we leave it opt-in.
What's never embedded
- The interactive map never prints — it's a live OpenStreetMap widget on the dashboard. The address and (on the Venue sheet) the coordinates are included so anyone reading the PDF can plug it into their own map app.
- Venue photos in the single-session PDF. The opt-in photo toggle only appears in the All Sessions PDF dialog. Use that one if you want photos on paper.
The two PDF buttons
- Download PDF (in the session toolbar) — generates a PDF for just the session you're viewing. Turn on “Include event dashboard page” to get the venue facts.
- Download All Sessions PDF (next to the per-session button) — generates one combined PDF for every session in the event. Two toggles here: “Include event dashboard page” (venue facts) and “Include venue photos page” (the landscape Venue sheet above).
Permission required
Both PDF buttons require the Export PDF permission. Members without it won't see the buttons.
