How to add a producer-only note
The Producer Notes card is the catch-all for venue info that doesn't fit parking, loading dock, or power. Plain text, auto-saves, visible to all event members.
The Producer Notes card on the venue is the catch-all for everything that doesn't fit into parking, loading dock, power, or the AV cue columns. Use it for things like "do not enter through the kitchen during dinner service," "the elevator on the south side is freight-only," or "the banquet captain's name is pronounced HwahKEEN."
Where it is
Open the event, click the Dashboard tab, and scroll down. The "Producer Notes" card is full-width, sitting between the staff/logistics row and the map+photos area.
To add or edit producer notes
- Click into the notes field.
- Type your notes — anything you want.
- Click outside the field (or just keep editing). Changes save automatically as you type. The "All saved" pill in the top bar briefly flips to "Saving…" then back.
Producer Notes vs the four logistics cards
The dashboard already gives you four dedicated cards above this one — Parking, Loading Dock, Power Drops — plus this catch-all. If your note fits cleanly into one of the named cards, put it there so your team can find it fast. Reserve Producer Notes for anything that doesn't.
What it isn't
- It isn't private. Anyone with view access to the event can read these notes. Don't store passwords, credit card numbers, or anything sensitive here.
- It isn't rich text. Producer Notes is plain text — no bold, no bullets, no links. Press Enter for line breaks.
- It isn't per-session. The note is attached to the venue, so it shows on every session of the event. For session-specific reminders, use the row-level follow-up flag or the Stage Notes section at the bottom of the session view.
